Accommodation

Hotel accommodation can be reserved through the intermediary of Turners Conferences who have secured preferred rates for participants. All rates quoted on the hotel booking form are in South African Rands and are per room and per night, breakfast and service taxes included. The hotel category should be indicated on the hotel booking form.

The following hotels have been especially reserved for the congress and preferential rates have been negotiated.

Booking Confirmation

All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, the arrival and departure dates, the rate, and the deposit required. This will be accompanied by an invoice and request for payment.

Booking

In order to reserve your accommodation at selected property or hotel, please click on the "book now" button. We request you indicate which alternate property/hotel or category we should book in case the chosen one is fully booked.

On submission of your online form you will automatically receive an email response confirming that your forms has been received.

Group Booking

Group hotel accommodation can be reserved in Pretoria through the intermediary of Turners Conferences. All participating hotels including their respective rates can be found on the official accommodation page of the Conference website. All rates quoted are in South African Rands and are per room and per night, breakfast, 15% VAT and 1% TOMSA Levy are included. The hotel name including room category should be indicated on the group booking form.
Group's accommodation agreement which outlines payment terms, amendments and cancellation policies and confirmation of group reservation will be emailed on receipt of provisional confirmation from Turners Conferences. Signed copy of the agreement including the required deposit will be required within 7 days of receipt of agreement.
Please note most of the hotels are within close proximity to the CSIR International Convention Centre.

GROUP BOOKING FORM

Payments

Full prepayment is required to secure the hotel booking. All incidentals are to be settled prior to departure from the hotel. Payment may be paid either by bank transfer or by MasterCard, Visa, American Express or Diners Club credit card. Full details appear on the booking form. For all group bookings (10 rooms or more), 50% deposit to be paid on receipt of first invoice, the outstanding 50% deposit to be settled thirty days prior to the start of the Congress. When opting to process payment by credit card further instructions will be emailed advising how to process payment via a secure online 3D PayGate portal. A unique reference number will be issued to you.

For all electronic bank transfer payments, event bank account details will appear on the accommodation invoice. Please specify your unique reference number.

Final date for bank transfers will be the 25th October 2024.

When processing Forex payment, kindly advise your bank all charges associated with Forex payment are for your own account. Turners Conferences will not be held liable for short payments received due to bank charges.

Transportation

Every chosen hotel accommodation sits within the CSIR Precinct. For those desiring the simplicity of direct transport, Turners is at your service to arrange daily round-trip shuttle rides from your hotel doorstep to the CSIR. Embark on this journey effortlessly by contacting Deveena Naiker at deveena@tcon.org.za.

Should you wish to explore additional avenues, please reach out to your hotel's concierge service with the possibility of a complimentary shuttle service or a metered taxi.

Terms & Conditions

Cancellations must be submitted to Turners Conferences in writing. You may cancel your reservation up 01st August 2024 with a full refund of your deposit paid less an administration fee of ZAR115.

Reservations cancelled after from 01st August 2024 will attract the following cancellation penalties:

59 - 31 Days - 50% Cancellation fees apply
30 - 0 Days - 100% Cancellation fees apply

An amendment fee of ZAR115 applies to all changes made to confirmed reservations after 15th September 2024.

Should you reduce the length of your stay upon arrival at the hotel, the hotel will charge cancellation fees for the nights that you will no longer be using.
