Reservations
Hotel accommodation can be reserved at one of the contracted hotels located within Birchwood through the intermediary of Turners DMC, who have secured preferred rates for participants. All rates quoted on the hotel booking form are in South African Rands and are per room and per night inclusive of breakfast, 15% VAT and 1% TOMSA Levy. The hotel category should be indicated on the hotel booking form. Please also indicate which other category we should book in case the chosen one is fully booked.
Confirmation of Hotel Reservation
All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, the arrival and departure dates, the rate, and the deposit required. This will be accompanied by an invoice and request for payment.Payments
Full payment is required to secure your reservation, payment due within seven (7) days after receipt of the first invoice. Payment may be processed either by electronic bank transfer or by Master, Visa, American Express or Diners Club credit card.All incidentals charged to room account need to be settled prior to departure from hotel.
For all group bookings (10 rooms or more), a 50% deposit is to be paid on receipt of the first invoice, the outstanding 50% deposit to be settled thirty (30) days prior to the start of the Congress.
Changes & Cancellations
Cancellations must be submitted to Turners DMC in writing. You may cancel your reservation up to 06th April 2026 with a full refund of your deposit paid less an administration fee of ZAR115.00.
Reservations cancelled after 06th April 2026 will attract the following cancellation penalties:
- 60 - 31 Days - 50% Cancellation fees apply
- 30 - 0 Days - 100% Cancellation fees apply
Should you reduce the length of your stay upon arrival at the hotel, the hotel will charge cancellation fees for the nights that you will no longer be using.
