Hotel and guest house accommodation can be reserved in Stellenbosch through the intermediary of Turners DMC who has secured preferred rates for participants. All hotel & guest house rates quoted on the booking form are in South African Rands and are per room and per night, breakfast and service taxes included. Hotel and guest house category should be indicated on the booking form. Please also indicate which other category we should book in case the chosen one is fully booked. Accommodation establishments are within close proximity to the STIAS in Stellenbosch.

Booking

In order to reserve your accommodation at selected property or hotel, please submit the Online Booking Form. We request you indicate which alternate property/hotel or category we should book in case the chosen one is fully booked.

On submission of your online form you will automatically receive an email response confirming that your forms has been received.

Group Booking

Reservations

Group hotel accommodation can be reserved in Stellenbosch through the intermediary of Turners DMC. All participating hotels including their respective rates can be found on the official accommodation page of the Congress website. All rates quoted are in South African Rands and are per room and per night, breakfast, 15% VAT and 1% TOMSA Levy are included. The hotel name including room category should be indicated on the group booking form.

Group's accommodation agreement which outlines payment terms, amendments and cancellation policies and confirmation of group reservation will be emailed on receipt of provisional confirmation from Turners DMC. Signed copy of the agreement including the required deposit will be required within 7 days of receipt of agreement.

Please note most of the hotels are within close proximity to STIAS, Stellenbosch.

Booking Confirmation

All reservations will be confirmed to you in writing with the name of the hotel, guest house or apartment, the type of accommodation booked, the arrival and departure dates, the rate, and the payment required. This will be accompanied by an invoice and request for payment.

Payments

Full payment will be required to secure the reservation. The payment may be paid either by bank transfer or by MasterCard, Visa, American Express or Diners Club credit card. Full details appear on the booking form.

When opting to process payment by credit card further instructions will be emailed advising how to process payment via a secure online 3D PayGate portal. A unique reference number will be issued to you.
For all electronic bank transfer payments, event bank account details will appear on the accommodation invoice. Please specify your unique reference number. Final date for bank transfers will be 1 July 2023.

When processing Forex payment, kindly advise your bank all charges associated with Forex payment are for your own account. Turners DMC will not be held liable for short payments received due to bank charges.

All incidentals charged to room account need to be settled prior to departure from hotel.

For all group bookings (10 rooms or more), 50% deposit to be paid on receipt of first invoice, the outstanding 50% deposit to be settled thirty (30) days prior to the start of the Congress. Terms and conditions for group reservations will be outlined in contract.

Transportation

The cost of a one-way transfer between Cape Town International Airport & Appointed Hotels in Stellenbosch or vice versa, will cost ZAR690.00 per person, per transfer. This applies to pre-booked & pre-paid transfers. Should you wish to book a transfers email Deveena Naiker: deveenan@turnersconferences.co.za or complete the Transfer Booking Form.

As an alternate option, you can contact the hotel concierge desk and request for a meter taxi or utilise e-hailing cabs.

Terms & Conditions

Cancellations must be submitted to Turners DMC in writing.

You may cancel your reservation up to 2nd May 2023 with full refund less an administration fee of R115.00. Reservations cancelled after 2nd May 2023 will attract the following cancellation penalties:

• 60 - 31 Days - 100% Cancellation fees apply
• 30 - 0 Days - 100% Cancellation fees apply

An amendment fee of ZAR115.00 applies to all changes made to confirmed reservations after 1 July 2023.

Should you reduce the length of your stay upon arrival at the hotel, guesthouse or apartment, the establishment reserves the right to charge cancellation fees for the nights that you will no longer be using.
