Hotel accommodation can be reserved at Birchwood Hotel & OR Tambo Conference Centre through the intermediary of Turners DMC who have secured preferred rates for participants. Hotel accommodation rates quoted on the hotel booking form are in South African Rands and are per room and per night, breakfast and service taxes included. The hotel category should be indicated on the hotel booking form.
The Birchwood Hotel & OR Tambo Conference Centre provide complimentary return airport shuttles.

On submission of your online form you will automatically receive an email response confirming that your forms has been received.

Group Booking

Group hotel accommodation can be reserved in Durban through the intermediary of Turners DMC. All participating hotels including their respective rates can be found on the official accommodation page of the Congress website. All rates quoted are in South African Rands and are per room and per night, breakfast, 15% VAT and 1% TOMSA Levy are included. The hotel name including room category should be indicated on the group booking form.

Group's accommodation agreement which outlines payment terms, amendments and cancellation policies and confirmation of group reservation will be emailed on receipt of provisional confirmation from Turners DMC. Signed copy of the agreement including the required deposit will be required within 7 days of receipt of agreement.
Please note most of the hotels are within close proximity to the Cape Town International Convention Centre.

Booking Confirmation

All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, the arrival and departure dates, the rate, and the deposit required. This will be accompanied by an invoice and request for payment.

Payments

Full payment is required I order to finalise your hotel reservation. Payment may be paid either by bank electronic bank transfer or by MasterCard, Visa, American Express or Diners Club credit card. Full details appear on the booking form.
For all group bookings (10 rooms or more), 50% deposit to be paid within fourteen (14) days of first invoice, the outstanding 50% deposit to be settled thirty (30) days prior to the start of the Congress.
All incidental charges are to be settled upon departure from the hotel.

Transportation

We offer a free shuttle service to and from OR Tambo International Airport during scheduled hours. Individual pick-ups or drop-offs as well as trips outside of the scheduled hours are an additional cost. FROM DOMESTIC ARRIVALS Exit the doors from the OR Tambo Airport Domestic Arrivals. From the greeting area, head right towards International Arrivals. Passing International Arrivals (on your right), look for the signs to car hire and the bus terminal. Bearing left, towards the street, exit the terminal building. Cross the road, following the signs to the bus terminal. FROM INTERNATIONAL ARRIVALS Exit the doors from International Arrivals. From the greeting area, look for the signs to car hire and the bus terminal. Continue straight, towards the street, exit the terminal building. Cross the road, following the signs to the bus terminal.

Terms & Conditions

Cancellations must be submitted to Turners DMC in writing. You may cancel your reservation up to 15th July 2025 with a full refund of your deposit paid less an administration fee of ZAR 115.00.

Reservations cancelled after 15th July 2025 will attract the following cancellation penalties:

• 100% Cancellation fees apply

An amendment fee of ZAR 115.00 applies to all changes made to confirmed reservations after 16th July 2025.

Should you reduce the length of your stay upon arrival at the hotel, the hotel will charge cancellation fees for the nights that you will no longer be using.
